Recruiting agency vs sourcing software cost is not a simple price-tag comparison. An agency quote may buy search, outreach, screening and coordination. Software charges for a discovery tool while leaving those activities with your team. Compare the total work your role needs, not just the invoice.

What each model pays for

A recruiting agency is a service engagement. Your agreement may specify a success fee, retainer, project charge or another structure. Ask what triggers payment, whether the search is exclusive, which work is included, how replacement terms work and whether the quote changes with the brief. Do not use a generic agency percentage unless it appears in the dated proposal you are considering.

Sourcing software is a tool purchase. It can support discovery or organise a first pass, but it does not become your employer representative. You still need a brief, reviewer, contact route, time for replies, assessment and a process record. Its price is one input into total cost, not a promise that the search will be cheaper.

Use a total-cost worksheet

Fill in figures from your agency proposal, internal pay assumptions and tool plan. If a value is unknown, request a written answer rather than inserting a market average.

This is a planning worksheet, not a benchmark. Use the same scope on both sides. Include internal briefing, approvals and interview hours even when an agency owns follow-up; include outreach hours when software leaves contact inside the business. Record payment timing, minimum commitments, unused capacity and pause terms.

These prices cover sourcing, not agency service. Talent Summoner does not manage an application pipeline, automatically reject candidates or provide an ATS integration today. If you already have CVs, the free candidate-ranking tool accepts up to 50 CVs in PDF, DOCX, MD or TXT format and creates a shareable report; your team checks the evidence.

Account for the work left in-house

An agency can include human outreach and follow-up, but you still approve the brief, supply context, assess candidates and decide. Confirm each hand-off instead of assuming "full service" removes every task. You may still manage agency communication, scheduling and feedback.

With software, the remaining work is more visible: calibrate the brief, inspect the shortlist, choose contacts, send outreach, answer replies, verify claims, run interviews or work samples, maintain records and close the role. A ranked result prioritises attention; it does not prove interest, availability, capability or performance.

Decision questions

Ask these questions before comparing totals:

  • Who owns research, first contact, follow-up and scheduling?
  • Which charges are fixed, triggered by placement or payable if the search pauses?
