AI-Assisted Recruiting Outreach: A Human Review Checklist

An AI-generated recruiting message is a draft, not a verified record. Before a human sends it, check every material statement against the approved role, the current source and the team's contact process. The aim is not to make automation sound more human. It is to prevent an unsupported claim, a hidden sender or an avoidable surprise from reaching a person.

This is a pre-send quality-control gate. It is separate from a personalisation workflow, a library of message templates or a diagnosis of why someone did not reply. Public professional profiles can supply a discovery signal, but they do not prove consent, interest, availability or permission to use every channel. This is general guidance, not legal advice. Check your organisation's policy and the rules that apply to the channel and location.

Run the gate before sending

Use one record per candidate and message version. If an item is unknown, stop and resolve it or remove the claim. Do not let a confident draft turn an unknown into an approval.

PRE-SEND HUMAN REVIEW
[ ] Approved role facts: role, outcome, scope, level and reporting details match the current approved brief.
[ ] Sender and company identity: the human sender, organisation and relationship to the hiring process are clear and truthful.
[ ] Source trace: each candidate-specific claim has a current URL, source name, review date and visible evidence.
[ ] Unsupported inference: ownership, seniority, results, availability, motivation and interest are not stated without evidence.
[ ] Familiarity or quote: no invented familiarity, private conversation or quote is attributed to the candidate.
[ ] Sensitive or protected data: remove protected, personal-life, health, family, photo or other irrelevant details.
[ ] Role relevance: the evidence connects to a real requirement; a ranking or impressive title is not enough.
[ ] Compensation, location and work pattern: approved details are accurate; unknown details are labelled unknown.
[ ] Truthful uncertainty: hypotheses and missing context are stated plainly, without overconfident fit language.
[ ] Tone: the message is respectful, specific, proportionate and free of pressure, fake urgency or deceptive automation.
[ ] Ask: there is one clear, optional next step that does not demand excessive time or information.
[ ] Link and domain: any role link is approved, works, and points to the expected company domain.
[ ] Duplicate and suppression: prior contact, duplicate records, do-not-contact requests and the contact basis were checked.
[ ] Channel and location policy: the selected channel and location-specific process were approved for this contact.
[ ] Opt-out: the recipient can decline or request no further messages, and the process will honour it.
[ ] Human owner: a named person will send, monitor replies, record status and handle an opt-out.
[ ] Version and reply handling: role version, message version, review date, status and next action are recorded.

Keep the checklist with the draft rather than treating a tick as proof that the person is interested. A reviewer can mark a message send, edit and re-review, hold, or do not send, with a short reason.

What commonly fails

Hallucinated ownership happens when a profile says someone was associated with a project but the draft says they led it. A title, repository or company name may be relevant without proving scope, results or responsibility. Rewrite the sentence to describe the visible evidence and ask a modest question.

Stale facts include an old role, closed vacancy, changed location, expired range or obsolete company description. Record the review date and verify material role facts immediately before sending. If the team has not approved a detail, say that it is being confirmed or leave it out.

Hidden automation appears when a system sends, follows up, changes channel or handles replies without a visible human owner. Do not recommend deceptive automation or disguise a generated message as a personal conversation. A draft may assist review, but a person must choose whether and how to send it.

Overconfident fit turns a shortlist rank or one keyword into "you are perfect for this role". A ranked result orders research; it does not establish ability or interest. Use calibrated language such as "this public work may relate to" and name the important unknown.

Fictional before-and-after

The following messages are fictional. They are not real candidates, companies, quotes or outcomes.

Flawed draft:

Hi Alex, I loved your work leading the launch at Northstar and knew you would be perfect for our urgent senior engineer role. We can offer remote work and a top-market package. Click this link and book tomorrow's call. Our system will follow up if you do not reply.

It invents ownership and familiarity, overstates fit, hides the sender, presents unapproved conditions, creates urgency and discloses an automated follow-up. The link and contact basis are also unreviewed.

Reviewed correction:

Hi Alex, I am Priya, the hiring manager at fictional Northstar Labs. I noticed the public project page describing your work on event-processing reliability while reviewing evidence for our platform engineer role. The role would help improve deployment reliability for a small team in Singapore; the working pattern is still being confirmed. That project may be relevant, although I have not verified your current scope or interest. Would you like the approved role overview? No problem if it is not relevant, and please tell me if you prefer no further messages.

The correction still needs a human to verify the page, role facts, link, channel, contact basis and recipient preference. It is clearer without claiming a response or a hiring result.

Hold the process when the role brief, sender identity, source, contact basis, channel, role link or material conditions are unresolved. It is also the wrong fit when nobody can own review, sending, replies, suppression or status. Do not send merely because an AI draft is fluent.

FAQ

Can a public profile justify outreach?

It can provide a job-related discovery signal, but it does not prove consent, interest or availability. Check the approved contact basis, channel and location process, then make the invitation optional.

Does a high ranking mean the message is ready?

No. Ranking helps order human review. Verify the evidence, current role facts, unknowns and contact record before deciding whether to send.

Who handles a reply or opt-out?

A named human owner should monitor the channel, answer or route replies, record the outcome and honour a request for no further contact. Talent Summoner does not manage that pipeline.
