How Much Does Candidate Sourcing Cost? A Practical Worksheet
Learn what candidate sourcing really costs, from internal time and software charges to agency fees and inactive commitments, with a fill-in worksheet.

There is no universal figure for candidate sourcing cost. A founder-led search, a recruiter using a database and an agency assignment can produce very different totals. Ask what this search required and what the same work would cost under another model, rather than looking for one market rate.
Candidate sourcing cost covers creating and progressing a relevant candidate pool, before interviews and offers. Count cash charges and team time: a low invoice can hide internal work, while a higher one may include service work your team would otherwise own.
The parts of a sourcing bill
Start with four internal work blocks: preparing the role brief, searching and building the pool, reviewing and verifying profiles, and preparing, administering and following up on outreach. Add sourcing-stage coordination such as notes, hand-offs, scheduling and records.
Record external charges separately: a sourcing tool or talent-database invoice, job-board or contact credits, an agency or independent recruiter's service charge, or another supplier cost attached to the search. Use the invoice or signed terms, not a fee inferred from marketing or another team's story.
Finally, record inactive commitment: an unused seat, subscription minimum, annual agreement, expiring credits or a pack bought before the role exists. A tool can be inexpensive during an active search but a poor fit if the team pays through quiet periods.
A fill-in sourcing worksheet
Complete one worksheet per role or defined reporting period. Keep hours and money separate until the final calculation.
| Cost line | Your input | Evidence or assumption |
|---|---|---|
| Brief and search-preparation hours | ____ | Calendar or time record |
| Search and profile-review hours | ____ | Search log |
| Outreach and follow-up hours | ____ | Messages or task record |
| Admin and coordination hours | ____ | Calendar or task record |
| Internal cost per hour for each owner | ____ | Your finance or payroll method |
| Software or database charge | ____ | Invoice or plan terms |
| Agency or recruiting service charge | ____ | Quote or signed agreement |
| Other sourcing charge | ____ | Receipt or supplier record |
| Inactive commitment allocated to this role or period | ____ | Contract and allocation rule |
Use this formula, replacing each blank with your own documented value:
Internal sourcing cost = brief time + search/review time + outreach time + admin time, each multiplied by the appropriate internal hourly cost.
Total candidate sourcing cost = internal sourcing cost + software/database charges + agency/service charges + other sourcing charges + allocated inactive commitment.
For several contributors, calculate each person's hours at the cost you use for that person. If a subscription serves several roles, document an allocation rule. Do not turn an unknown into zero; mark it as "not recorded".
Compare active work with idle commitment
Separate active cost from access commitment. Active cost asks what the role consumed; inactive commitment asks what the purchasing model required while no useful search was running. Both matter for occasional hiring.
For example, a seat-based database may charge across quiet months, while a per-role model concentrates cash cost around an open role. An agency may charge for a service assignment rather than software access. Compare who writes the brief, searches, reviews, contacts people, follows up and maintains records.
Where Talent Summoner fits
Talent Summoner is our product for candidate sourcing and ranked-shortlist review. Its candidate sourcing workflow, checked 19 August 2026, starts from a role description and searches LinkedIn, GitHub and other public professional sources across 200M+ profiles. It returns a ranked shortlist with must-haves, nice-to-haves and plain-English reasoning. Sourcing is free to start with no credit card.
The current pricing page, checked 19 August 2026, lists US$39 one-time for one Role, US$99 one-time for three Roles, or US$79 per month for four Roles. Monthly included Roles roll for three months, extra Roles are US$25, and one-time pack Roles remain valid for 24 months. Put the applicable product charge in your worksheet, then add your brief, review, outreach and administration time. Verify the live page before purchase.
Talent Summoner does not turn this into a cost-per-hire promise. It does not manage an application pipeline, automatically reject candidates or decide whom to hire. Your team verifies evidence, chooses outreach, runs interviews and makes the hiring decision. If you already have CVs, the free candidate-ranking tool is a different workflow and accepts up to 50 files.
Sourcing cost is not cost per hire
Sourcing cost ends at creating and progressing a candidate pool. Cost per hire is a later outcome metric: it divides defined recruiting and hiring costs by completed hires. A search can have a sourcing cost without producing a hire, and a hire can include interview, assessment, onboarding or other costs outside sourcing.
Use our existing cost per hire guide for that broader calculation. Here, report the role's sourcing cost, shortlist contents, unknowns and next work. Do not describe a shortlist as a hire or claim that a lower bill caused a better result.
A sensible next step
Choose one role. Log the four internal time blocks, attach external charges, allocate inactive commitment and write down which items stop at the shortlist. Compare the worksheet with current pricing and the candidate sourcing workflow. It is a decision record, not a market benchmark.
FAQ
What is the average candidate sourcing cost?
There is no reliable universal average for every role and model. Calculate internal time, supplier charges and inactive commitment for a defined role or period.
Should outreach time count as sourcing cost?
Count outreach preparation, sending and follow-up when your definition includes outreach in sourcing. State the boundary and apply it consistently.
Is Talent Summoner's Role price the total sourcing cost?
No. The Role price is the product charge. Add your team's brief, review, verification, outreach and administration time, plus other applicable charges and inactive commitment.
Is candidate sourcing cost the same as cost per hire?
No. Sourcing measures creating and progressing a candidate pool. Cost per hire requires a completed hire and a broader cost definition.
Does Talent Summoner guarantee a hire?
No. Talent Summoner is our product for sourcing and ranking. People remain responsible for verification, outreach, interviews, selection and the final hiring decision.
