A Repeatable Hiring Process for Occasional Hiring

Occasional hiring creates a memory problem: when a role opens, the last search's decisions and hand-offs may be hard to recover. A repeatable process cannot guarantee an outcome. It gives the team a clear starting point, named owners and evidence to restart after a quiet period.

Use reusable artefacts rather than a rigid schedule: a role brief, owner map, source and ranking record, outreach hand-off, assessment plan, decision record and close-out review. Reuse the structure, then recheck each role-specific assumption.

1. Create a role brief that can be reopened

Start with a role brief before searching. Record the outcome, manager, location or working arrangement, compensation information, must-haves, nice-to-haves and acceptable adjacent backgrounds. Keep title variants and search terms separate from requirements so a familiar title does not become an accidental rejection rule.

For each must-have, note expected evidence and what remains unknown until a conversation or work sample. Add the brief owner, reviewer, version date and pause conditions. On restart, the date shows what needs re-verifying.

The checkpoint is agreement on the outcome and criteria. If the manager and budget owner disagree, pause and record the question.

2. Map owners and hand-offs

Name the person accountable for approving the role, maintaining the brief, running discovery, reviewing evidence, contacting candidates, designing assessment, approving an offer and closing the record. One person may hold several roles, but each stage needs an owner and next action.

Add gates for approval, brief confirmation, candidate review, assessment, recommendation and close or pause. These are checkpoints, not time promises. If the search goes quiet, the next owner can see where work stopped.

3. Separate source, rank and verify

Keep a source record: profile or CV, source, brief version, evidence, unknowns, reviewer, disposition and next action. Distinguish "not visible" from "does not meet"; ranking orders attention, not ability, interest or availability.

4. Make outreach a deliberate hand-off

A high rank does not prove interest or availability. The checkpoint is a human decision to contact, hold or close, with a reason another owner can understand after a gap.

5. Keep assessment tied to the brief

Before conversations, assign an assessment owner and define questions, work sample or other evidence for must-haves. Give interviewers shared criteria and separate observations from impressions. Your team owns interviews, assessment, communication and decisions; Talent Summoner does not.

6. Close, archive and reverify before restarting

Close with a filled, paused, cancelled or reopened status. Record the final brief version, source and ranking notes, dispositions, assessment evidence, decision owner and unresolved questions in the team's chosen system.

On the next role, copy fields and checkpoints, not requirements or judgements. Reconfirm owners, reporting line, location, compensation, must-haves, source assumptions and assessment design.
