Interview Transcription Software for Recruiting Teams

Interview transcription software turns spoken conversation into a searchable written record. The useful question is whether an authorised reviewer can trace a decision-relevant passage to the conversation, correct an error and handle the record responsibly.

A transcript is not objective truth, complete evidence or a hiring score. Errors and omissions occur, and a missing sentence is not proof it was never said. Human reviewers should verify material passages against available audio and retain the appropriate source under their policy.

Separate recording, transcription and notes

Ask exactly what the product does. Recording captures audio or video. Transcription converts speech into text, often with speaker labels and timestamps. Notetaking or summarisation selects, paraphrases or interprets parts of that text.

Before a meeting starts, define the participant notice and permission workflow. Ask what each participant sees, how a late joiner is handled, how a person can decline or withdraw and whether the interview can continue without capture. Record it. Requirements vary by location and policy, so this is general guidance, not legal advice; check applicable rules and obtain qualified advice for a specific situation.

Test whether the transcript is reviewable

Use your own approved, redacted sample. Test one-to-one and panel conversations, interruptions, overlapping speech, names and acronyms. Check speaker corrections, timestamp jumps and whether edits preserve the original or audit history.

Play the audio while reviewing every decision-relevant passage. Look for omissions, merged speakers, invented words, changed negation and punctuation that alters meaning. Test the languages, accents, pace and domain vocabulary your team actually encounters. Do not rely on a staged example or publish an accuracy percentage without a reproducible evaluation and clearly scoped result.

Check exports, controls and data terms

Confirm exports preserve timestamps, speaker labels, corrections and useful metadata. Ask whether they open without a paid account, whether an API or integration is available for records you already use and what happens when a contract ends. An export should not turn a reviewable source into an untraceable paragraph.

Map who can view, edit, download or share recordings and transcripts. Ask about role-based access, audit logs, revocation and approval before anything enters a candidate record. Confirm retention, deletion of backups, deletion verification and the route for a participant request.

Read the privacy notice, terms, security material and subprocessor list. Ask where content is processed and stored, whether customer content is used to train or improve models, what opt-out is available and which terms govern uploaded audio. Keep answers with the approved data-handling decision.

Plan for failure and total cost

Ask what the team sees when capture fails, a transcript stops, speakers are merged or a note is unavailable. Can a reviewer upload an approved alternative, mark a criterion as not assessed and preserve the source? Ask about support, cancellation, renewal, storage, usage, language or API charges, minimum terms and deletion work. Compare the workflow, not an entry price detached from review effort and controls.

Run a buyer-owned pilot

Use one approved sample, the same settings and rubric for every option. Assign a procurement owner and evidence reviewer. Record:

  1. Notice, permission, decline and withdrawal handling for every participant.
  2. Speaker labels, timestamps, corrections and links from material text back to audio.
  3. Errors under your real languages, accents, interruptions and vocabulary, with a human correction log.
  4. Export fidelity, access changes, retention, deletion evidence and contract-end treatment.
  5. Failure states, support routes, model-use terms, subprocessors and total cost assumptions.

Do not approve from a demonstration alone. Have the reviewer verify material passages and document unresolved questions, owners and due dates.

Wrong fit

Wait when participants cannot receive approved notice, no one owns review, or sensitive records have no access and deletion owner. This category is a poor fit for teams seeking an automatic personality verdict, hiring score or complete record without checking the source. A structured interview plan and human notes may be enough.

FAQ

Is a transcript the same as interview notes?

No. A transcript attempts to represent spoken words; notes select and rewrite content. Both can contain errors and neither replaces human review against the source.

What should teams test first?

Test participant notice, speaker attribution, timestamps, correction against audio, realistic languages and accents, exports, access, retention, deletion and failure recovery using an approved sample.

Can a transcript decide whether to hire someone?

No. It is a review aid, not a complete record, objective truth or hiring score. Verify material passages and apply the approved human-owned assessment process.
